Duties and responsibilities of the position:

• Lead the proposal production process including research, writing and document edition to create high-quality proposal content.
• Assist and manage proposal teams, including proposal coordinators, writers, and graphic designers
• Create and coordinate the proposal responsibility matrix that assigns tasks to the proposal team
• Create and manage libraries with updated client’s documents and team proposal files using electronic information management systems (i.e SharePoint)
• Coordinate proposal review meetings.
• Review proposal drafts to ensure completeness and compliance with all RFP requirements, including bonding, insurance, contractor’s licenses and prequalification’s, and preparing and collecting all completed and executed proposal’s administrative forms
• Organize production and finalize proposal documents for submission including hard copies printing and binding, and electronic copies preparation and packaging.
• Coordinate, compile, update and edit corporate marketing and support material information such as personnel bios and resumes, project descriptions, photos, testimonials, reference points of contact.
• Assist with presentations, conduct technical staff interviews, archive proposals, and update company/business information.
• Develops and maintains templates, boilerplate content and best practices, working through internally established systems
• Support Business Development functions such as performing market research, project pipeline identification, attendance to industry forums, preparing marketing and leave-behind material for potential clients, partners and subcontractors in compliance with company visual identity standards
• Manage registration with relevant associations such as Builder Associations, and General Contractors’ prequalification registration/renewal with applicable state Departments of Transportation and other local, state or federal agencies.

Qualifications

• BS/BA in Business, Marketing, Journalism, or technical discipline
• +7 years previous experience preferred working in bid, proposal or marketing coordination and preferably within the AEC industry
• Proficient in Microsoft Office suite and Adobe creative Suite, including InDesign (preferred)
• Previous proposal experience in heavy civil construction industry and/or alternative delivery procurements will be an asset for this position
