Administration Assistant
We are the Australian subsidiary of a leading Spanish multinational group specialising in the development, construction, and operation of major infrastructure and concession assets, including water desalination plants, hospitals, and transport infrastructure.
Our Melbourne CBD office supports both local operations and coordination with our international headquarters.
The Role
We are seeking a highly proactive, organised and detail-oriented Administration Assistant to become the operational backbone of our Melbourne office.
This is a key role requiring an “all-rounder” mindset — someone who takes ownership, anticipates needs, solves problems before they arise, and ensures the smooth and efficient running of the office at all times.
The successful candidate will provide high-level administrative, organisational and business support to the local leadership team while maintaining strong coordination with our Spanish headquarters.
Key Responsibilities
1. Office Management
· Oversee the day-to-day running of the Melbourne CBD office.
· Manage office suppliers, facilities, service contracts and landlord relationships.
· Coordinate IT, equipment, and office infrastructure requirements.
· Ensure compliance with company policies and local regulatory requirements.
2. Executive & Business Support
· Provide administrative support to senior management.
· Coordinate meetings, travel arrangements, and international schedules.
· Prepare correspondence, reports, and presentations.
· Coordinate visits from international executives.
3. Financial & Administrative Support
· Assist with invoice processing, expense reports, and credit card reconciliations.
· Liaise with external accountants, payroll providers and consultants.
· Maintain accurate administrative records and filing systems.
· Support contract administration and documentation management.
4. Culture & Workplace
· Help foster a professional, organised and positive office culture.
· Support onboarding of new employees.
· Organise internal events and corporate activities.

Skills & Experience
· Proven experience in an Administrative Assistant, Office Manager, Executive Assistant, or similar role.
· Experience in construction, infrastructure, engineering, or professional services environments is advantageous (but not essential).
· Strong written and verbal communication skills.
· Excellent interpersonal skills and ability to deal with stakeholders at all levels.
· Advanced Microsoft Office skills.
· Experience using Xero.
· Spanish language skills highly regarded (but not mandatory).
